Learn how to write a procedure

Step 1: Define the scope of the procedure
- Identify the processes you want to document.
- Identify the procedure limits – what is included/excluded

Step 2: Gather information
- Capture all activities required by the process.
- Identify inputs, output, activities, roles, and measurements.
- Use a flowchart to sequence the activities and gather relevant details.

5 Ws and 1 H.
- Why is the procedure important?
- Who is responsible for each task?
- What equipment/materials is required?
- Where do the activities take place?
- When do activities happen?
- How do activities take place?

Step 3: Create a procedure template
Develop a procedure template. Include:
- Scope & Purpose
- Definitions
- Responsibilities
- Procedure
- References (Checklists, templates, forms etc.)
- Version History (author, approvals, date, versions etc.)

Step 4: Write, Review and Approve
- Get inputs from Subject Matter Experts or process owners and document each step.
- Document all necessary steps.
- Provide enough details for staff to understand.
- Avoid jargon and wordiness.
- Get reviewed and signed off.
